- Start the application. If this is the first time, you will either need to enter your license key or click on “Activate Free Trial” button.
- From the Dashboard or the sidebar, navigate to “My Backup Profiles” and click on “Setup a new backup profile” to start the process of backing up your Mac Mail.
Note on backup profiles: a profile acts as your blueprint for customized email protection. It allows you to specify precisely which email accounts and folders to safeguard, the type of backup (full or incremental), the frequency of the process, and the desired storage location (local drives, external storage, or cloud services).Profiles streamline the process by automating it based on your predefined settings, eliminating the need for repetitive manual configurations. - In the next window, select “Apple Mail” from the available options. If you are on MacOS Mojave or later versions, it’s possible that you will encounter a “Disk Access Denied” error. If so, follow these steps to fix the error:
- Go to your Mac’s System Preferences and then go to “Security & Privacy” and click the “Privacy” tab.
- Scroll down to “Full Disk Access” and click the lock icon at the bottom left to make changes. If required, enter your admin password.
- To add Mail Backup X to the list of applications that have Full Disk Access, Click the “+” button and look for the application.
- Tick the checkbox next to “Mail Backup X Personal” to grant access.
- Relaunch Mail Backup X and if required, click on Apple Mail again. (step 4)
- Once Mail Backup X has the necessary permissions, take some time to think about what you need to back up from Apple Mail and what is not so relevant. You can manually select folders or exclude them by ticking or un-ticking the checkbox. Also, you can choose to let the application automatically back up new sub-folders under selected folders.
- Configuration: After selecting the folders, checkthe profile settings and make sure they are suitable for backing up Mac Mail data in a way that fits your need:
- Enter a name for your backup profile, for example, “Apple Mail Backup“.
- Choose a storage location by clicking “Choose a Space”. (Note: Once you have added a storage location, you can then add secondary locations, called “Mirror.” It’s recommended by most experts to at least have one local storage and another a cloud storage, such as OneDrive).
- Select your security settings (encrypted or unsecured). Go through the necessary steps to set up security, if you haven’t done it already.
- Set your backup schedule to either automatic, manual, or recurring.
- If desired, configure the USB Auto-Snapshot feature to create backups on an external USB drive.
- Once you have personalized the profile, proceed to finalize your settings by clicking on the “Save” button.
